You will provide outstanding administrative support for the Office of Annual Giving and Special Gifts. Your duties will be primarily related to assisting with activities relating to annual giving solicitations (direct mail, phone, online), gift processing and stewardship. Your attention to detail will help you maintain the integrity of the alumni/donor database by making routine updates and handling special database projects as needed. Your excellent verbal and written communication skills and customer service skills will be essential. Being well-organized, detail-oriented and showing sound judgment in dealing with confidential matters involving alumni and donor information, charitable contribution information, budget and other issues will help you achieve in this role. Additional duties include:
Open the mail, log, prepare checks for deposit, copy for check processing, and complete/email the check log within one day of receiving the mail, paying special attention to accuracy, and other duties associated with gift processing.
Assist with mailings related to Annual Giving and Donor Relations. Mailings include, but are not limited to, routine office correspondence, coordinating monthly pledge reminders, direct mail solicitations, phone program follow-up, endowment reports, etc.
Perform routine and accurate information updates in the database. Collaborate with the Database Management team when needed to maintain the accuracy of records and on special data projects.
Office coordination duties including, but not limited to, check requests, expense tracking, supplies and other inventory, etc.
Minimum Required Qualifications
Education: High school diploma or GED required.
Experience: At least two years of experience providing administrative and clerical support required. Proficiency in Microsoft Office products, specifically Word and Excel. Must be able to perform mail merges. Excellent verbal, written and customer skills.
Preferred Qualifications
Bachelor's degree preferred. Raiser's Edge experience strongly preferred. Prior experience in a development setting and knowledge of charitable giving and donor relations. Experience with NetCommunity. Experience in a higher education setting.
Additional Qualifications
Must be a detail-oriented professional, a self-starter and maintain confidentiality in the workplace. Must be able to manage and prioritize multiple projects to effectively meet deadlines, especially monthly and reporting deadlines. Must have the flexibility to work independently and collaborate with colleagues as needed. Ability and willingness to represent the Office Institutional Advancement and the University of Baltimore to alumni, donors, friends and other guests. Must be willing to assist in other areas as requested.
