The Graduate Counselor (GC) is primarily responsible for prospective graduate student recruitment and admission in order to achieve tuition-driven revenue goals and new student enrollment objectives. Within a team environment, the GC will also be responsible for internalizing undergraduate admission policy and practice as well and should be at ease in working with all prospective students. As such, while managing a recruitment territory the GC may be asked to recruit freshman and/or transfer students. The GC Serves in the Enrollment Management Division under the leadership of the Assistant Director of Admission and the Associate Vice President for Admission. The GC cultivates prospective students through individualized communications, presentations, chats, social media interaction, and individual and group campus visits, and on-campus and virtual recruitment events, etc. We look forward to receiving your electronic application with a cover letter and resume and learning about your interest in and qualifications for our vacancy. Key Functions/Responsibilities/Tasks
Meet aggressive enrollment growth goals by actively recruiting prospects and applicants through various outreach efforts: travel, phone, email, on campus, mail, text and online. Meet targets across the admission funnel through specific weekly goals for tele-counseling, visits, contacts, and applicants. Recommends program-specific recruitment strategy, and develops a holistic recruitment plan with the guidance of the Assistant Director, faculty and administrators, and the AVP for Admission to inform enrollment goals. Accountable for developing and managing strategic relationships with key internal and external community partners in undergraduate programs, businesses, and appropriate agencies to create pipelines to UB enrollment. Plan, attend, and present at recruitment events targeted at prospective students, community-based organizations, gatekeepers, influencers and partners. Responsible for the engagement and conversion of prospects and applicants. Builds awareness and interests in the form of amassing prospects. Generates inquiries and applications. Work with applicants to move applications to decision and works with admits to accept offer and register. Cultivate and advise prospective students through registration as they make decisions about furthering their education by providing information about the University, its programs, financial aid procedures, and campus life.
Coordinates applications for program directors’ review, using electronic workflow (ImageNow) and PeopleSoft/Campus Solutions. Assist with mail processing during peak times by scanning documents, linking documents from ImageNow to PeopleSoft/Campus Solutions records, and updating applicants’ checklist status, education screens, etc. Efficiently use PeopleSoft to check application status and provide assistance to applicants, admissions staff, and program directors and advisers. Makes some admission decisions and coordinates the conversion of admitted to enrolled students by helping prospects engage with partner offices, like Financial Aid, Records and Registration, and Student Affairs. Use Target X and select applications to manage day-to-day workload and effective communication to students and gatekeepers.
Participate (when the budget allows) in professional organization activities relevant to the field of strategic graduate enrollment management. Network with other admission professionals to ascertain best practices in the field. Assist with other prospective student pools when necessary and supports achievement of the University’s annual enrollment goals for all populations of students. Analyze and report market and enrollment trends especially with regional peers and competitors whether virtual or brick and mortar.
Required Education and Experience
Education: Baccalaureate degree in Sales, Marketing, Public Relations, Psychology, Public Administration, Business, Communications or related field/discipline.
Experience: Three years professional and progressively responsible experience in admission, sales, marketing or related field/discipline.
Preferred Education and Experience
Education: Master’s degree in Marketing, Public Relations, Psychology, Public Administration, Human Service, Business, Communications
Experience: Five years of progressively responsible experience in admission in a higher education institution. Bilingual (preferably English/Spanish fluency.
Required Knowledge, Skills and Abilities
Experience with student information systems, customer/constituent relationship management systems, e-applications, and online forms and presentation/meeting platforms. Ability to lead and act as a team member in a changing environment and support leadership efforts to promote strategic plans, and enrollment goals. Excellent communication skills, including demonstrated skill in oral and written expression of information, ideas, and policies with ability to inspire an audience to action. Ability to adapt to the University style guide and the preferred AP format. The GC is able to work with diverse populations and has a proactive customer service orientation that anticipates customer needs. The GC is able to creatively solve problems, and has demonstrated skill in managing office and institutional knowledge for best practice succession planning. Valid State of Maryland driver’s license and willingness to travel. Proficiency in Microsoft Office Suite programs. Knowledge of partnerships with MD Regional Higher Education Learning Centers like the Universities at Shady Grove is a plus.
Requires some evening coverage, occasional weekends, as well as flexible scheduling during peak recruitment times.
