The Campus Experience and Event Coordinator is a creative, energetic, and detail-oriented professional who helps facilitate the University’s “campus experience” for student visits and admission events in order to increase student awareness, inquiry and enrollment. The Campus Experience and Event Coordinator creates and manages admission events for all student populations: Freshmen, Transfer, and Graduate (on campus and off); assists with individual student campus visits; hires, trains and manages student admission ambassadors; oversees the creation of campus experience marketing materials; and works to enhance the admission office (and other campus) building environments for maximum student impact. This position requires flexibility and adaptability to the ever-changing ‘life’ of an individual event. It also requires the skill to multi-task and effectively problem-solve before, during and after an event has been implemented. Excellent communication skills, a service-oriented focus, high level of initiative, project and time management, leadership, vision and perspective are requirements.

Conceptualizes, plans and executes a yearly admissions event calendar (including budget management) across undergraduate and graduate programs, leveraging ideas to improve both on-campus and off-campus student experiences. Oversee and manage all pre-event, event, and post-event logistics.
Hires, trains and oversees admission student ambassadors, who are event ambassadors, college work study students, tour guides and tele-counselors. Manages student ambassador budget, timesheets and schedules to ensure appropriate levels of visit and event coverage and other duties as assigned. Continually evaluates and implements changes to improve the program and the experience of current students, with a constant goal of providing advanced leadership and professional development opportunities.
Represents the enrollment division to communicate admission event details to campus partners to ensure campus awareness, involvement, and high level of execution. Includes, but not limited to, assistant deans and faculty, and staff within the following departments: marketing, financial aid, student affairs, facilities, technology services, alumni, etc.
Works collaboratively with the marketing and communications team to support and promote all campus events and campus experience related activities including web updates, social media, e-mail, direct mail, digital advertising, etc. related to new student events. Creates and updates “Program Planning Guides” for each event.
Assesses the cost-effectiveness and recruitment yield of various recruitment events. Maintain databases and collect / analyze statistics for program attendance and yield.
Works in conjunction with recruitment staff to support individual student visits; identifies schedule availability of appropriate administrators, faculty and staff. Collects student visit feedback and data to assess and improve the campus experience. Provides limited assistance to other campus departments in the planning and implementation of outreach programs and enrollment support events (I.e. College in High School, academic spotlight programs, orientation, etc.). Manages inventory of event marketing materials, including event giveaway items.
Required Education and Experience
Education: Baccalaureate degree in relevant course of study
Experience: Three years of related professional experience in event planning, marketing and management.
Preferred Education and Experience
Experience: Experience in a higher education environment.
Required Knowledge, Skills and Abilities
Experience and success recruiting, motivating and supervising staff, current students and volunteers. Ability to manage timelines, budget, priorities and multiple events. Availability and willingness to work evenings and weekends as needed for event preparation and coverage. Excellent leadership, customer service, phone, mentoring, training, and organizational skills. Must be able to work efficiently in a high-traffic, fast-paced environment and with a diverse population. Requires excellent computer skills and proficiency with Microsoft Office, database basics, CRM, and advanced email, calendar and social media capabilities. Requires the ability to transport self and an extensive supply of program materials in a timely manner from location to location as needed for admission events, on and off campus as needed. The ability to create immediate rapport with a wide variety of on and off-campus constituencies, such as prospective and current students; parents; high school personnel; college faculty, staff, and administrators; alumni. The ability to prioritize and meet deadlines and handle multiple projects with strict attention to detail. The ability to exercise good judgment in establishing priorities, making decisions and problem-solving. Performs other duties as assigned. Demonstrates and reflects an understanding of and commitment to the mission of the University of Baltimore.
Must have a valid driver's license and access to a reliable vehicle. Evening and weekend hours will be required to accommodate Admission events. Attendance at all events that this position oversees is required.
