Responsible for achievement of enrollment goals by identifying prospective students via recruitment events and electronic sources, actively recruiting via phone, email, texting, face to face and other communication methods. Through active listening, information solicitation and analysis of student’s needs, counselors manage, influence and motivate qualified prospective students and new applicants to complete enrollment applications. Through the use of relationship management, ensures and assists prospects through the enrollment process by identifying needs and engaging any combination of ancillary support, i.e., advising, placement testing, residency, transfer credit evaluation and financial aid. Accountable for developing and managing complex, thoughtful and solution driven relationships with key influencers and decision makers in designated geographic territories both inside and outside of the University of Baltimore, (specifically with high schools, school counselors, academic leadership, community leaders, and community colleges) to create pipelines to UBalt enrollment.

Key Functions/Responsibilities/Tasks:
Meet aggressive enrollment growth goals by actively recruiting prospects and applicants through various outreach efforts: visits to schools/community colleges, via phone, email, on campus visits, and online. Measure and meet targets for inquiries, applicants, and enrollment, set, reviewed and adjusted in consultation with Assistant Director in alignment with enrollment plan including specific weekly goals for tele-counseling, visits, contacts, and applicants. Plan, schedule, attend, and present at recruitment events, high school visits, college fairs, community college fairs, and community college visits and other local and regional events. Research, recommend and initiate the use of new recruiting opportunities based on partner and target audience feedback as well as best practices in enrollment management. Inform and coordinate undergraduate recruitment calendar and develop annual recruitment plan for specified territory/audience. Conduct on-going analysis of enrollment pipeline (prospects, application and acceptance rates as well as overall enrollment rates) and adjust recruitment strategies/activities as necessary to achieve goals.
Cultivate and advise prospective students via nurturing campaigns and at least bi-weekly contact as they make decisions about furthering their education by providing information about the University, its programs, procedures, and campus life. Responsible for a select group of prospects and applicants as determined in conjunction with the Assistant Director and AVP of Admissions. Advise all prospects in the group on aspects of UBalt including program choices, financial aid, assistantships, admission, registration, and campus life. Regularly communicate with inquiries and applicants delivering appropriate messages at all stages of the recruitment funnel. Guide students through phone, email, online chats, open houses, workshops, and one-on-one appointments. In partnership with Financial Aid, strategically design, develop and award prospective students scholarships/grants in order to encourage enrollment.
Provide timely, accurate, and appropriate follow-up to inquiries and applicants. Respond to all emails and phone calls same business day or within 24 hours. Responsible for meeting target customer service key performance indicators (KPIs) as determined by admissions leadership. Maintain thorough and current knowledge of program requirements and policies through regular contact/meetings with college/school leadership.
Process applications for a select group using electronic workflow, CRM (Salesforce/TargetX), (ImageNow) and PeopleSoft, review, verify, and update application status daily. Ensure complete admissions files for applicants by scanning documents, linking documents from ImageNow to PeopleSoft records, and updating checklist status, education screens, and other data in CRM and PeopleSoft as needed. Expertly use enrollment technology (CRM, Peoplesoft) by using relevant fields, dashboards and reporting to check application status, manage outreach and provide assistance to applicants, admissions staff, and program directors and advisers. Identify any problems with technology and work with enrollment technology team to develop solutions.
Establish and maintain relationships with key partners within and outside of the University of Baltimore. Maintain relationships with various on-campus staff to facilitate enrollment. Participate in professional organization activities. Network with other admission professionals to ascertain best practices in the field. Understand competitive activity (new recruitment practices, scholarship activity etc.,) within the region and critically evaluate and recommend any adjustments needed to undergraduate recruitment initiatives.
Required Education:
Baccalaureate degree in Sales, Marketing, Public Relations, Psychology, Public Administration, Business, Communications or related field/discipline that coordinates with/applies to the responsibilities of the position
Preferred Education:
Master’s degree Sales, Marketing, Public Relations, Psychology, Public Administration, Business, Communications
Required Experience:
One year of professional experience in admission, sales, marketing or related field/discipline.
Preferred Experience:
Five years professional experience in admission, sales, marketing or related field/discipline. Previous experience using database systems (preferably People Soft), customer/constituent relationship management systems (preferably Salesforce), and document imaging (preferably Image Now).

Develops effective working relationships inside and outside immediate work area. Contributes ideas and shares information within and across work groups; shares lessons learned, documents processes.

Ability to interact with prospective students, encouraging those equipped to succeed academically at UB to apply, while informing those not so prepared to explore the alternative pathways offered by UB. Identify, prioritize and nurture pipeline of prospects who are not yet ready or eligible to enroll.
