The document imaging specialist is responsible for coordinating the process of digitizing paper documents for storage in electronic content management systems at the University of Baltimore. This includes preparing documents for scanning, operating scanning equipment, and organizing the saved content. This position is under the Administration & Finance Division in the Office of Shared Services and will coordinate various university department scanning needs.
Work requires independent judgement, attention to detail, and an understanding of effective data management.
This position is a contingent full-time role that is funded through 6/30/2023.

Key Functions/Responsibilities/Tasks:
Prepare documents for high speed scanning (to include removal of fasteners, clips, repair tears to document). Organize documents to be scanned from filing cabinet drawers, file folders and binders.
Determine appropriate scanner settings based on document type and document characteristics (i.e., paper size and weight of paper). Perform optical character recognition on documents requiring content-based retrieval image Indexing and Index verification ensuring files are searchable. Scan and save documents into various content management systems including local directories, SharePoint and ImageNow.
Link relevant user and department metadata to the scanned files.
Store image and text files within specified file structure; create/update properties to provide retrieval to ensure maximum future searchability and retrieval.
Keep electronic documentation/index of work for future retention, maintenance and retrieval of files.
Other administrative duties as assigned.
Education: High School Diploma or GED
Experience: Three years of office experience with knowledge of scanning, imaging, data conversion, content management systems, MS Office and Adobe Acrobat.
Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
