This position is responsible for providing program support for the Schaefer Center for Public Policy, its NextGen Leaders for Public Service Program and Certified Public Manager® Program. Key functions include supporting the smooth operation of the Center, maintaining financial and programmatic records, providing logistical support for events, and assisting with the Center’s external communications.

Key Responsibilities:
1. Provides administrative support for the Schaefer Center including completing routine administrative tasks such as maintaining and ordering supplies, shipping materials to program participants, preparing and submitting work orders, preparing travel documentation for Schaefer Center staff and students, and requests required maintenance on Center equipment, etc. Prepares and maintains a file of routine correspondence. Prepares meeting materials for Schaefer Center Advisory Board meetings. Schedules meetings for Schaefer Center director and key staff as needed.
2. Provides support to maintain Center documentation for financial transaction requests such a vendor payment, travel reimbursement, and purchase requests. Maintains other records as required to support the smooth operation of the Center. Maintains contact databases for the Schaefer Center including: clients, graduate fellows, Certified Public Manager Program graduates, Community Development Fellows, and NextGen Leaders for Public Service Program interns, etc.
3. Provides event coordination and support for the Schaefer Center and its NextGen Leaders for Public Service Program and training programs. Duties include scheduling rooms, coordinating with vendors, discuss and arrange details of pre-event, event, and post-event logistics; implementing space reservations and catering orders; arranging for facilities assistance, equipment, technology support; ensuring key event-planning milestones are handled and on track; and assisting with appropriate event planning communications. Track event registrations. Serve as contact for event-related questions. (Typically, the Center has 1-2 larger events per year and a number of small, virtual events.)
4. Coordinates communications for the Schaefer Center including newsletters in Constant Contact, event announcements, and routine social media posts.
5. Other administrative duties as needed.
Required Education and Experience: High School Diploma or GED. Three years of administrative experience. Experience maintaining program records and corresponding with internal and external clients. Requires excellent administrative skills, strong computer skills including Word, Excel, and PowerPoint. Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
