The Annual Giving Program Administrator will serve as a primary member of the Annual Giving team and will have primary responsibility for maintaining the daily operations of the annual giving program. Your successful administrative experiences will lead you to develop effective direct mail campaigns (strategizing, writing, list preparation, mail shop coordination) and manage the coordination of the phone program. Additionally, you will develop, produce and analyze data reports for the Annual Giving team and help to identify strategies, trends, and areas of improvement. Duties include:
- Plans and develops telemarketing strategies for the overall phone program in conjunction with the Annual Giving team.
- Manages the daily operations of the phone program. Serve as the Annual Giving team’s primary liaison for the phone program vendor and the data management team. Ensures the coordination of data between the two.
- Takes the lead in developing and editing the scripting and training materials for the program in coordination with the Director of Annual Giving and Special Gifts.
- Serves as the primary data production coordinator for the phone program. Works with the data management team to generate the calling lists, and manages the data imports/exports and other program-related data needs.
- Provides top-notch customer service to alumni and donors by addressing the daily comments/questions from alumni and donors that arise throughout the phone program.
- Collaborates with the Annual Giving team in the strategizing and conceptualization of annual giving appeals. Takes a lead role in the development and execution of annual giving appeals.
- Writes and edits annual giving and special appeals in collaboration with the Annual Giving team.
- Serves as a liaison between printers, mail houses, UB mail services, and the Annual Giving team to ensure the smooth execution of annual giving efforts.
- Manages the online giving and web site. Creates and updates compelling content for the giving pages and e-appeals. Collaborates with donor relations to include success stories on the giving pages. Creates landing pages and automatic acknowledgment emails as needed for various fundraising efforts.
- Develops analytical reports for the comprehensive annual giving program. Work with the data management office to run and develop the reports, as needed. Analyzes reports to identify opportunities for increased giving, notable trends, etc., as they relate to program goals and objectives.
- Prepares weekly annual giving progress reports for the Annual Giving team
- Manages the monthly pledge reminder program including payroll deduction program and reminders (annually each fall).
- Handles all one-time and periodic credit card transactions for Institutional Advancement. Responsible for keeping all credit card information secure and processing within two days scheduled payment or three business days of receiving paperwork.
Minimum Required Qualifications: Requires a bachelor’s degree in Marketing, Sales, Communication or other related fields/disciplines. Also requires at least five years of progressively responsible administrative experience and at least one year of direct sales or fundraising experience.
Preferred Qualifications: At least two years of administrative experience in an annual giving, fundraising or development environment and proficiency with Raiser’s Edge are preferred.
Required Knowledge, Skills and Abilities
• Strong database and data manipulation experience.
• Strong written and verbal communication skills and attention to detail.
• Project coordination and management experience. Ability to manage multiple projects and meet established deadlines. Strong organizational and planning skills
• Web content and management experience. Proficiency with Microsoft Word processing programs, Excel, etc.
Occasional evening and weekend work, with advance notice, may be required.
