The Assistant to the Dean exercises considerable discretion and judgment and deals with sensitive and confidential matters providing critical support to both the Dean and the Associate Dean for Administration at the School of Law in a wide range of activities and functions. In that role, the Assistant to the Dean must be able to function with independence and anticipate what is needed in a variety of situations before being directed. The position has supervisory responsibility for the administrative staff as well as responsibility for hiring, scheduling, and supervision of certain student workers. The position handles the day-to-day facilities management issues and serves on the operations management team with the Associate dean and the Assistant Dean for Finance and University partners. As a member of the law school’s senior management team, this position must be ready and willing to take on emerging projects. Coordination of dean’s and associate dean’s calendars, including coordinating meeting dates and agenda for faculty council, faculty reviews, senior staff and general staff meetings and reviews. Coordinate logistics for the hiring search teams for faculty and other senior level staff positions.
Communicate with internal and external constituents on daily basis. Handle confidential correspondence for the Dean and Associate Dean, including the preparation of special reports and presentations as well as arranging travel and reimbursements.
Supervise and review administrative assistant staff including assigning or re-assigning work and completing their performance reviews. Hire and supervise student workers in the Dean’s suite and the Center for Families, Children and the Courts (CFCC).
Serve on the senior management team of the law school. Coordinate and, at times, lead new initiatives, such as those focused on staff development and emergency preparedness for the law school.
Coordinate and handle problems and requests for building needs. Submit work orders and assure prompt follow up. Serve on operations management team. Interface with University partners regarding use and approval of law building.
Assist with event planning including scheduling, negotiating contracts with facilities providers, caterers, equipment suppliers and arrange staffing key law school events. Coordinate the university’s event sponsorship process with outside organizations for the law school.
Prepare minutes, maintain electronic and paper files for the law school and Dean, assist with shared sites for law school information, including TWEN. Assist with exam administration.
Qualifications
• Baccalaureate Degree in business or related field required
• Five years of related experience or an advanced degree with two additional years of related experience required
• Excellent communication skills and interpersonal skills as this position deals with a wide range of constituents including prominent alumni and members of the legal community
• Ability to exercise judgement and discretion
• A quick learner, very well organized, who possesses the ability to handle multiple tasks and responsibilities at the same time
• Proficient with the Microsoft suite – Word, Excel and PowerPoint – and capable of becoming fluent in PeopleSoft systems, TWEN, and emerging tools used by faculty and staff.
Preferred Qualifications: Master's degree and executive level experience supporting and coordinating work.
