Langsdale Library and its Achievement and Learning Services is seeking an Administrative Assistant II. This position provides and manages administrative support and customer service for a vibrant and student-focused office providing academic support to over 1500 undergraduate, graduate and law students per year. The position supports Langsdale Library, a primary location for information access, learning, and knowledge creation at the University of Baltimore. Langsdale Library serves as a primary location for information access, learning, and knowledge creation at UB. Langsdale cultivates knowledge creation within members of campus, the Baltimore metropolitan area, and beyond.
ALS increases student success and prepares UB students for real world challenges; ALS enriches student learning through peer and professional tutoring, a writing center, workshops, supplemental instructions, and academic coaching.
Key Functions/Responsibilities/Tasks
• Oversees general office support for Langsdale/ALS; maintains physical inventory records, submits work orders, ensures functionality of equipment, answers telephone and responds to in-person, email and mail inquiries regarding the Library; produces correspondence and reports; maintains manuals and staff directories, maintains calendar of meetings and events
• Hires, trains, and supervises student front desk staff for ALS; handles difficult situations for student workers
• Provides administrative support for special projects to other Library departments
• Serves as chief timekeeper and liaison with the University’s HR department regarding personnel procedures and policies in conjunction with the Library Dean
• Performs research, runs queries and gathers data for units in ALS; provides support for workshops in preparation of materials, communications, and data collection
• Oversees customer service and day-to-day communications of Library/ALS, maintenance of online appointment system, workshop registrations.
Required Education and Experience
Applicant must have a High School Diploma or GED, as well as three years progressively responsible administrative experience and delivering customer service.
Preferred Education and Experience
Applicants with a bachelor’s degree will receive priority consideration. We are also looking for supervisory experience and experience in higher education or related setting.
Required Knowledge, Skills, and Abilities
Strong interpersonal skills and ability to communicate effectively both orally and in writing. Proficiency with Microsoft Outlook, Excel (intermediate) and Word. Familiarity with email/calendaring software, the Internet, and basic computer hardware connectivity. Knowledge of generally accepted office practices. Excellent attention to detail. Ability to plan, prioritize, and execute multiple multi-step projects and daily responsibilities. Ability to listen for and help students identify needs.
Must be able to work infrequent evenings and Saturdays
Preferred Knowledge, Skills, and Abilities
Familiarity with social media and online web conferencing platforms; Mac OS;, WCOnline;, PeopleSoft or comparable student information system.
