Serving in the Office of Financial Aid, within the Division of Administration and Finance, the Senior Counselor must have detailed knowledge of State of Maryland and U.S. Department of Education Financial Aid Programs rules and regulations. This position is responsible for student aid processing and for assuring compliance in federal and state aid awarding, verification, Return to Title IV calculations, and program reconciliation. This position is expected to use U.S. Department of Education and State of Maryland Financial Aid systems. The Senior Counselor demonstrates a strong customer service orientation and actively participates in recruitment and retention activities, which support the institutional enrollment objectives. The position ensures awards are accurately made, reported and billed in a timely manner and are reconciled monthly. The Senior Counselor also serves as the office liaison for all outreach events to current and potential students, such as open houses, orientation, financial literacy, FAFSA nights, and other activities.

Customer Service and Student Outreach: Provide exceptional service through intentional intervention at every step of the financial aid process (application to disbursement). These services are provided in-person, via telephone, email and social media. Assume ownership of escalated student concerns and provide a resolution in order to deliver exceptional customer service. This includes contact with other student-facing business units and timely follow through with students and, when appropriate, their parents or legal guardians.
Veterans Education Benefits Processing/Reporting: Maintains strong customer service and relationships with the UB Veteran student population. Assists in resolution of issues impacting their eligibility or payment of Veteran education benefits. Certifies students enrolled each semester under all Veterans benefit Chapters ensuring certifications are accurate and processed in a timely manner by VA for school and/or student to receive payment. Run variance reports to ensure certifications are updated appropriately and in a timely fashion for changes to student enrollment, tuition and fee charges or financial aid. Provides student progress reports at the end of each term to the VA.
Verification Processing: As part of the counseling team contributes to the UB verification policy and procedures used in determining student eligibility for financial aid. Provide transparent customer service by ensuring students are aware of what is required and assist the student in meeting verification requirements.
Determines Eligibility for Awarding and Reporting for External Sources of Financial Aid: Ensures awards are accurate prior to posting to student accounts. Runs weekly variance reports to identify accounts, which need review prior to disbursement. Requests payment from and reconciles with MHEC and DCTAG. External sources may include MHEC and DCTAG grants and scholarships.
Process Return to Title IV (R2T4) Calculations: Maintains federal R2T4 compliance by running queries biweekly and at the end of each semester to identify students requiring a recalculation of aid based on official or unofficial withdraw. Performs R2T4 calculations based on federal guidelines, ensuring aid is accurately recalculated to appropriately reflect required aid adjustments based on R2T4 calculations. Communicate adjustments to students and internal offices.
Required Qualifications
Education: Bachelor’s degree in Accounting, Finance, Business or other related field/discipline.
Experience: Three years’ experience in Financial Aid in higher education. Knowledge of Title IV financial aid programs. Experience with an Enterprise Resource Planning tool or integrated data.
Ability to work as needed to serve students and achieve business requirements, which includes periodic evenings and weekends.
Preferred Qualifications
Education: Master’s degree in Accounting, Finance, Business or other related field/discipline.
Experience: Experience working with PeopleSoft modules and/or project management in a public higher education environment. Experience working in a shared services model with a diverse non-traditional student population.
Required Knowledge, Skills, and Abilities
A strong working knowledge of federal, state, and institutional student aid and scholarship programs. Detailed program knowledge in the following is necessary: Veterans Education Benefits, Maryland Higher Education Commission (MHEC) Programs, and District of Columbia Tuition Assistance Grants (DCTAG) Programs. Demonstrated ability to think tactically and exercise independent judgment, discretion, ingenuity, and innovation to resolve highly visible issues. Ability to review, revise and update business procedures and services with a focus on first class customer service. Exceptional organizational and time management skills with demonstrated ability to plan, coordinate, prioritize, and effectively execute multiple initiatives, programs, and events simultaneously. Ability to meet established deadlines and assuming responsibility for potentially controversial issues. Demonstrated ability to maintain high-quality standards of work, initiative, ethics, commitment, and professional responsibility and judgment. Ability to represent the university in a professional and conscientious manner. Demonstrated ability to use tact and diplomacy to handle a broad range of sensitive interpersonal situations with diverse constituencies and respond appropriately to conflicts and problems. Demonstrated ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere within a diverse population and with those from various cultural backgrounds. Strong verbal and written communication skills. Demonstrated customer service experience requiring a very high level of diplomacy and professionalism. Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems and internet as well as online calendaring and email. Demonstrated ability to maintain a high degree of confidentiality.
