The Division of Enrollment Management and Student Affairs is responsible for the offices at the University that manage and support enrollment including: admission, housing, financial aid, records and registration, and enrollment research as well as for providing students’ programming and services including: student recreation and wellness, educational access, achievement and learning, community life, counseling, military and veterans’ services, student involvement, career and professional development, cross-cultural and international services and for managing the technological support for the Division.
Working closely with the Senior Vice President, the Assistant provides professional, executive level assistance to the Senior Vice President and the Enrollment Management and Student Affairs Division. Incumbent regularly handles matters of a highly confidential or sensitive nature. Primary responsibility is to support and facilitate the success of the Senior Vice President as the executive and leader of the Division of Enrollment Management and Student Affairs. The successful candidate will apply critical thinking skills and creativity to solve complex problems, while making strategically sound decisions that result in successful outcomes within the Sr. VP’s office. Supports Sr. VP in the duties, projects and assignments required to achieve goals for enrollment and the objectives that support students’ enrollment, retention and success at the University of Baltimore.
Ensures the smooth and professional operation of the Sr. VP’s office; making decisions of an administrative nature and executing those decisions and functions to completion, informing the Sr. VP of potential problems within the EMSA Division and/or concerning faculty, staff, and students.
Anticipates the Senior Vice President’s course of action when absent and facilitates problem resolution.
Interprets administrative decisions and policies while communicating directions and instructions based on authority delegated by the Sr. VP.
Assists with resolving problems, issues, or complaints brought to the attention of the Sr. VP by serving as the first point of contact, gathering appropriate information and assisting with appropriate resolution.
Ensures the Sr. VP is fully briefed before meetings; supports the Sr. VP to meet deadlines. Coordinates her schedule and provides necessary preparation, reports, appropriate materials and documents.
Reviews, edits outgoing correspondence for procedural, typographical, and grammatical accuracy with general policy and factual correctness.
Triages incoming correspondence and information, summarizing, prioritizing, and screening items to be handled personally and forwarding remainder with necessary background materials.
Creates and maintains an administrative calendar listing of deadlines for administrative responsibilities in the Sr. VP’s office; distributing assignments to AVPs and directors in the EMSA Division and ensuring notification to staff, students, and faculty.
Assists the Senior Vice President in fostering and encouraging cooperation between and among staff, faculty, and other units to enhance the efficiency and effectiveness of the EMSA Division and the University as a whole.

A bachelor’s degree is required in addition to at least 6 years of related and progressively challenging administrative experience with demonstrated skills in maintaining the highest level of diplomacy, confidentiality and trust. Developed strategic and analytical thinking skills with an ability to solve problems and make decisions is essential in proactively planning, organizing, prioritizing and executing complicated and continuing assignments without instruction. Knowledge of and skill in using Microsoft Office Word, Excel, and Access to produce documents and maintain information is also required. Success working in higher education is preferred.
