Record Your Greeting & Name
You can record 3 types of voicemail greetings. One for external callers, one for internal, and a temporary greeting. If you record the external greeting only, all callers hear that greeting. When a temporary greeting is active, all callers hear that greeting. You might want to record a temporary greeting any time you will be out of the office.
Record Greetings
- Dial in to voicemail. (From your phone, press the Msg/Inbox key. From off campus, dial 410.837.6900.)
- Enter your extension number , then press #.
- Enter your password , then press #.
- Press 8 2.
- Select the greeting you want to record. 1 for the external greeting, 2 for internal, and 3 for the temporary greeting.
- Press 5 to record the greeting.
- Press # to finish the recording.
Record Your Name
Your recorded name, also known as your personal verification, is played in generic greetings, addressed voicemail messages such as forwarding a message to another mailbox, and in express messaging. If a name is not recorded, the verification will be a recording of your extension.- Follow steps 1-4 above.
- Press 9.
- Press 5 to record the name.
- Press # to end the recording.

Check Voicemail From a Phone
- From your campus phone, press the Msg/Inbox key. From off campus, dial 410.837.6900.
- Enter your extension number , then press #.
- Enter your password , then press #.
- From a campus phone, you can move through messages using the soft keys on the display. Otherwise, some of the basic key commands are:
- 1 - rewinds message
- 3 - forwards through the message
- 6 - skips to next message
- 7 6 - deletes message (messages that are played but not deleted remain in your mailbox for 14 days)
NOTE: Unplayed voicemail messages are deleted after 99 days.

Check Your Voicemail Online (My CallPilot)
- Log into the MyUB Portal.
- From the Tools section click the My CallPilot link. This opens another window.
- In the Mailbox field, type your 4-digit extension.
- In Password, type your voicemail password.
- Click the Login button.
- Click the CallPilot Messages tab. Any voicemail messages in your mail box will display on this screen.
- Click the link for the message you want to listen to.

Forward Voicemail to Your E-mail
Messages forwarded to your e-mail remain in your voicemail box for 14 days. The red light on your phone will not come on as long as message forwarding is enabled.
- At the MyUB Portal, go to the Tools section and click the My CallPilot link.
- If you do not see a login prompt, click Continue.
- Log in using your 4-digit extension in the mailbox field and your voice mail password in the password field.
- Click the CallPilot Features tab.
- Click Message Forwarding Rule.
- Click Configure Rule.
- Enter the following settings:
Messages to forward: Voice Messages
Forward to: email address and enter your UB email address
Convert voice messages to: select any WAV option. - Click Save.
- Check the Enable box.
- Click OK.

Don’t Want Voice Messages? Temporarily Block Messages
You can prevent callers from leaving voicemail messages. If you choose to block messages, provide appropriate information for the caller to find assistance elsewhere. If they cannot reach you and cannot leave a message, who else can they contact or how else can they contact you to conduct their business with UB?
- Dial into voicemail.
- Press 8 0 for mailbox options.
- Press 7 for message blocking.
- To turn message blocking on:
- at all times, press 1
- when a temporary greeting is active, press 3
- Select how you want the call to end:
- to allow callers to transfer to the operator, press 1
- to disconnect the caller after your greeting plays. press 2
To turn off message blocking, repeat steps 1-3, then press 2.
