Using New Features Available in Outlook Web Access 2003

Some features discussed are available only in the Premium version of OWA 2003. Click here for a summary of features available in the Premium and Basic versions. Premium features are available when using Internet Explorer version 5.01 or newer.

Set Messaging Options: Items Per Page, Signature, Default Font
You can change the number of mail messages displayed on one page, set how you are notified of new mail, add a signature, and set a default font. These settings are available in the Options of OWA. To access Messaging Options:

  1. Click Options in the Navigation pane
  2. Locate the second section, Messaging Options.
  3. Change or select the options you prefer. Most options are self-explanatory. Instructions for signatures and changing the default font follows.
  4. When satisfied with your changes, click Save and Close at the top of the window. If you'd like to discard all changes, click Close.

Create a Signature for Your Messages
You can create personal signatures to add to the messages you send. You may opt to automatically add a signature to each email you send or choose when to insert your signature. Whichever option you prefer, you need to initially create a signature in Outlook Web Access.

  1. While in Messaging Options, click the Edit Signature button.
  2. In the window that opens, create your signature. The toolbar in the window allows you to specify font attributes such as font face, size, color, and emphasis.
  3. When finished, click Save and Close.
  4. If you want this signature added to every outgoing e-mail, click Automatically include my signature on outgoing messages.

NOTE: If you don't want to include the signature automatically, you can choose to insert your signature while writing a message. Do this by choosing Insert Signature in the message’s toolbar.

Changing a Message’s Default Font
The default font in OWA is Arial 10pt in black. You may specify a different default font in Messaging Options:

  1. While in Messaging Options click the Choose Font... button. Select the font, color, etc.
  2. Click OK. Remember to click Save and Close at the top of the Options window to save your changes.

Reading Pane Options
The reading pane gives you the option to display the message along with the list of messages in the folder. The term "preview pane" may be more familiar. Options for the reading pane are in two places in OWA. First you select whether you want the reading pane on and then you can set when an item is marked as read when it's viewed in the reading pane.

Step 1- Choose Reading Pane Preference

  1. In the message toolbar, click the Show/Hide Reading Pane button.
  2. Choose one of the three options: Right, Bottom or Off.
  3. You may adjust the size of the pane by moving the lines between the panes.

Note :This feature and its options ar available only in the Premium version.

Step 2 - Choose Message Read Option

  1. In the Navigation pane, select Options.
  2. Locate the Reading Pane Options section. This should be the third option.
  3. Choose your preference.
  4. Click Save and Close at the top of the window.

Spelling Checker
Outlook Web Access now includes a spelling checker for messages. You may choose to turn the spelling checker on to check spelling before sending every message or check spelling on demand. To check spelling on demand while writing a message, click the Spelling button on the message toolbar, as shown below:

  1. In the Navigation pane, select Options.
  2. Locate the Spelling Options section. This should be the fourth option.
  3. Check the third box, Always check spelling before sending.
  4. Make other selections as desired.
  5. Click Save and Close at the top of the window.

Change the Color Scheme
You have a choice of color schemes to use in Outlook Web Access (OWA) 2003. To change the color scheme:

  1. In the Navigation Pane, click Options.
  2. Under Appearance, choose a color (Olive Green, Burgundy, Silver, Dark Blue, or Default Blue).
  3. Click Save and Close.

Shortcut Menus for Messages and Folders
Outlook Web Access 2003 provides shortcuts to frequently used commands. When you right-click on a message or folder in an OWA list, a menu of commands (Open, Delete, Move/Copy, etc.) appears. Right click the Deleted Items folder to access an option to Empty Deleted Items! Please note that some of these features will be available after June 16th.
