Human Resources Procedures for hiring student assistants

  • Identify appropriate wage rate. These rates will be evaluated and established yearly by the Office of Human Resources in conjunction with the Provost's office.
  • If recruitment is necessary, contact the Office of Human Resources, Career Services, post a notice, and/or announce the opportunity on UB's E-Mail.
  • Interview and select student employees.
  • Complete personnel forms:
    • Student Assistant Employment Agreement
    • I-9 Form (attache copies of proof of identity)
    • Tax withholding (W-4) document
    • Substance Abuse Policy Acknowledgement
  • Obtain appropriate signatures. If your student is an international student, agreement MUST be signed by the International Student Advisor.
  • Review completed forms. Contracts will not be processed if any form is incomplete.
  • Submit forms a minimum of three weeks in advance of the contract start date to avoid late payments to your student. Salary advances will NOT be issued if the contract is not received three weeks in advance.
  • Advise the student that:
  • biweekly timesheets must be submitted to receive pay;
  • they are responsible for reporting in writing to HR if they no longer meet the criteria for FICA exemption.
