The Lead Admissions Processor is responsible for the processing of prospective student data from multiple external sources and admission applications and supporting materials. This involves data uploads including: test scores, electronic transcripts, and prospect and inquiry data from external sources. This position leads the admission processing staff in database testing and routine general quality control reviews and audits. The role also identifies and assists in the resolution of processing exceptions and will provide recommendations.

Key Functions/Responsibilities/Tasks:
Coordinate application processing, including data downloads of electronic applications and data entry of paper applications using PeopleSoft, Salesforce, and ImageNow (Perceptive Content). Rectifying students with duplicate IDs. Routinely move students through the stages of the admission process from incomplete to pending to admit status. Process term changes, withdrawals, and program and plan changes. Coordinate with the Records Office when students are matriculated and/or enrolled. Routinely respond to data, processing or hardware/software related inquiries, request and problems. Sends daily application reports to Office of Admission personnel.
This position ensures the completion and accuracy of complex tasks such as QA queries in ImageNow (Perceptive Content) and PESO, updating of PESO checklists, understanding the interdependence of tasks, systems, and business processes throughout the admission funnel. Processes admission applications, test scores, and electronic transcripts. Conducts search match and monitors outstanding check list items for completion. Scans documents to Image Now. Moves applications for admission to pending status for admission counselor review. Makes initial residency determination. Facilitates EAPP setup (create new terms, add/delete academic plans, etc.). Edits, and restarts PESO queries. Oversees and helps conduct end to end testing during regular patch/fix cycles of the student information system and related ancillary systems. Supervises paper communication flow out of TargetX, and other scheduled mailings. Reports any TargetX issues to CRM Coordinator.
Complete data loads from external sources including but not limited to standardized test score results and electronic transcripts. Loads, processes, and verifies data accuracy as a part of quality control. When necessary, assist with triaging and pulling documents from the Admission email accounts. Provide troubleshooting assistance to prospective students trying to navigate the electronic application and/or locate missing documents.
Trains newly hired employees – nonexempt and college work study. Maintains inventory of training materials. Updates training materials to reflect new equipment, systems, business processes, and changes to policy and procedure related to application processing.
Oversees implementation of policies and procedures for the processing team. Assures quality control, identifies and resolves processing problems, and make recommendations for improvements of policy and technology to improve productivity. Communicates with Admission personnel and OTS staff to troubleshoot technology problems.
Responds to needs of admission counselors to ensure timely processing of applications and communications of admission decisions. Interacts with other departments (Financial Aid, Registrar, Bursar, etc.), regarding admission data quality matters.
Required Education: High School diploma or GED
Required Experience: Two years progressively responsible clerical, administrative and transactional processing responsibilities.
Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Preferred Education: Baccalaureate degree in Information Technology, Business, or related field/discipline that coordinates with/applies to the responsibilities of the position
Preferred Experience:
Five years progressively responsible clerical, administrative and transactional processing responsibilities.
Required Knowledge, Skills and Abilities:
Able to maintain high productivity, accuracy, and customer service throughout the recruitment cycles: Able to train and lead processing staff and student employees, make work assignments, and monitor productivity.
Communicate effectively both orally and in writing; follow oral and written instructions; establish and maintain effective work relationships.
Able to develop effective working relationships inside and outside immediate work area, representing the prospective student applicant journey to those external to the Office of Admission.
Constructively voices new ideas; persists; takes extra steps to overcome negative responses.
Experienced and independent operator in ERP, CRM, and ImageNow (Perceptive Content) learning and adapting independently to new technology while staying current with emerging technology, preferably in higher education.
Seeks opportunities to apply available technology to improve department results/service delivery.
Take responsibility for continuous development and performance improvement. Continually builds on and develops conceptual knowledge bases.
Contributes ideas and shares information within and across workgroups, shares lessons learned, and documents processes.
