The Office of Advancement and External Relations seeks a highly organized, motivated, customer service oriented, thoughtful communicator to serve as the Donor Relations Associate. Under the direction of the Associate Director of Stewardship, the Donor Relations Associate will assist with implementing and executing a comprehensive central stewardship program for University of Baltimore Foundation donors. This position will enhance UBalt’s donor relations efforts by producing and tracking routine stewardship communications that effectively demonstrate the impact of contributions from the University’s benefactors.
Consistent, timely, and accurate communication is key to the growth of philanthropic relationships and donor retention, and the Associate must possess outstanding organizational skills, exceptional attention to accuracy and detail, and polished verbal and written communication skills. The Associate keeps electronic records of routine processes and procedures and must be able to not only follow the processes in place, but also make suggestions of ways the team can adapt and improve routine processes as departmental strategy and resources require.

Key Functions/Responsibilities/Tasks:
Donor Communication
• Provides administrative support for the Office of Donor Relations, ensuring that routine gift acknowledgment communications and scholarship student profiles are produced and sent to donors in a timely manner
• Identifies and collects fund specific impact quotes and materials and assists in the production of communications that use these pieces
• Drafts templates for routine communications
• Assists with other routine stewardship communications as needed
Information Management
• Ensures electronic records of donor communications are recorded and stored according to office policies
• Documents and maintains processes and procedures for all routine processes
• Assists with data entry and other administrative functions as needed
Special Events and Projects
• Provides support for special events and projects, including stewardship activities for special giving days and initiatives
Other duties as assigned.
Required Education:
Bachelor's degree
Required Experience:
• 1 year of experience in fundraising, nonprofit, or higher education setting, or in a setting where writing and/or managing written communications was a key responsibility.
• The ideal candidate will supply 2-3 writing samples if invited to interview.
• Previous experience in a role that interacts with clients, donors, or volunteers.
• Previous experience with data entry.
Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Preferred Experience:
• Experience using a CRM and/or donor database
• Experience working in a communications role
• Experience working at an institution of higher education
• Previous professional experience in a role that interacts with donors, alumni, and/or volunteers
• Experience with project management

• Must display a high level of professionalism, personal integrity, and tact
• Exceptional work ethic and track record of personal initiative
• Excellent verbal and written communication skills
• Demonstrated capacity to be well organized and highly detail oriented
• Must possess a collaborative mindset and the ability to develop positive working relationships with colleagues
• Proven ability to balance multiple concurrent tasks and priorities
• Demonstrated skill and knowledge of, or ability to learn quickly, the technology tools available to the OAER.
• Proficiency with Microsoft Office Suite.
• Strong interpersonal and customer service skills, including ability to work with diverse individuals over the phone, in written correspondence, and in person
