Assistant Dean for Advising, Enrollment, and Academic Success

Reporting directly to the Dean, the main purpose of this position is to lead the Yale Gordon College of Arts and Sciences (YGCAS) on all areas pertaining to academic advising, enrollment management, academic student success, and student affairs for the college’s undergraduate and graduate degree programs, including data collection, analysis and reporting. This individual interfaces with department chairs, faculty, students, university administrative offices, and other constituents of the YGCAS. In addition to implementing and developing strategies to enhance the academic operations of the YGCAS, this individual must make independent judgments and decisions and act independently on behalf of the Dean. 

This position is also responsible for the oversight and management of the undergraduate aspects of the new Mentor Center. This individual serves as a member of the college’s senior staff and leadership council on areas of academic advising, enrollment initiatives, policies and procedures, and other student success activities of the college’s undergraduate and graduate programs. This position requires a thorough understanding of the academic policies of the University and the YGCAS and incumbent must possess a desire to serve the students of the College and University, as well as the ability to effectively collect, analyze, and report data.   The individual must have the ability to establish an effective rapport with students, faculty, and staff.

Minimum Required Education and Experience: Master’s degree relevant to the position and 5-7 years of experience in higher education, in areas of advising and enrollment management, as well as data analysis and reporting.

Preferred Education: A Ph.D. or other terminal degree relevant to the position.

Responsibilities   

Undergraduate and Graduate Academic Advising and Oversight
• Provide leadership of academic advising in the college for the undergraduate and graduate degree programs, and serve as advisor for non-degree seeking students; Interface with all aspects of the college on undergraduate and graduate academic advising
• Provide training, direction and guidance to academic program coordinators (advisors) and program directors regarding advising and policy issues; ensure policy compliance.
• Monitor, track, and advise students for degree completion, incomplete grades, requests to take courses off-campus, requests for major / program changes, transfer coursework, probation and suspension, etc.
• Solve problems with students, faculty, and staff to help students reach their academic goals.
• Assist with integration of freshmen and sophomores into college degree programs.

Undergraduate and Graduate Academic Student Success
• Provide leadership and oversight of student success for undergraduate and graduate degree-seeking students in the college, including, but not limited to, student issues related to faculty relations, degree/program completion, major and minor requirements, grievances, and persistence.
• Interface with all aspects of the college on undergraduate and graduate academic student success in partnership with the Assistant Dean for Undergraduate Studies.
• Coordinate the updating of the academic regulation sections of the undergraduate and graduate catalogs.  Serve as the central person to disseminate information on any new policy, procedures or academic curriculum change to program directors and academic program coordinators.
• Oversee the process of probation and suspension of degree-seeking students.  Provide oversight and facilitate mid-term progress reporting and early alert processes.
• Assist Associate Dean on student academic appeals and requests, including administrative withdrawals, grade changes, program changes, grievances, etc.  Render decisions on college policy as needed.
• Establish, develop, and provide leadership of the college mentor center.

Enrollment Management (recruitment, progress, and degree completion)
• Provide leadership and oversight of all enrollment management activities in the college; oversee the implementation of recruitment and retention plans of each degree program; supervise enrollment and retention strategies, working with academic program coordinators and program directors.
• Partner with Senior VP of Enrollment Management, AVP of Admissions, and College Dean to determine annual college enrollment goals and devise strategies of providing a comprehensive marketing and outreach plan.
• Monitor program enrollment throughout registration period to assess course needs, returning student registration patterns and increases and declines in student enrollment;  determine course roll-outs and enrollment trends/patterns for college degree programs; consult and coordinate with the associate dean, assistant dean for undergraduate studies, program directors, and academic program coordinators on all scheduling and registration issues.
• Participate in enrollment studies, assessment projects and campus work groups dedicated to addressing enrollment trends and issues; conduct enrollment studies and prepare enrollment analyses and reports for YGCAS faculty and staff.
• Work with college communications to create and maintain a web resource page for all undergraduate and graduate students (will consist of program advising sheets, career information, etc.).

Data Analysis and Reporting; Database Management; PeopleSoft and iStrategy
• Provide leadership and oversight to ensure advising, college enrollment and student success data are centralized and regularly maintained for accurate and timely reporting as needed.
• Develop, maintain, and produce annual and semester PeopleSoft and iStrategy reports on admission and enrollment data pertaining to students’ academic program, scheduling and other YGCAS needs.
• Partner with the Associate Dean and Assistant Dean for Undergraduate Studies to run and generate reports on student enrollment behavior and patterns and devise intentional strategies for increasing efficiency in scheduling, student affairs, etc.
• Serve as the college’s representative on all PeopleSoft related University initiatives.
