The Technology for Faculty/Staff Loan program allows University of Baltimore employees to borrow audio visual (AV) equipment and computers for school or personal use for the purpose of enhancing instruction. The program is supported by the Office of Technology Services’ Classroom and Media Services group. All equipment is available on a first-come, first served basis.

Eligibility
Under the Technology Loan program, AV equipment can be checked out by faculty and staff with a current University of Baltimore ID card. Equipment may not be checked out to lend to someone else.

Availability
Requests are granted based on the following priority: UBalt lectures, official UBalt events including class projects and assignments, UBalt events, then personal use.

Loan Duration
Laptops are available for two weeks with a one week renewal. A borrower must wait one week after returning a laptop before they can sign one out again. Other items can be checked out for a duration of one week, however notebook presenters can be checked out on a semester basis. Contact IT Manager Shirley Mohammadi for issues or extending items beyond the due dates. If an item is not returned to OTS after one semester, the borrower’s department will be notified and asked to pay for the item.

Liability
Other than normal wear and tear, faculty and staff are responsible for returning all equipment in the same condition as it was received. Faculty and staff will be held financially responsible for any lost, stolen, or damaged equipment, as well as any missing components used for personal use. In the case of lost or damaged equipment, the borrower will complete a Damage/Loss Assessment form. The borrower will be responsible to pay the replacement cost of equipment not returned, damaged beyond repair, or missing components. Costs assessed against the borrower will be treated as any other debt owed to the University. In case of a theft of the equipment, the borrower must present a copy of the Police Report stating the conditions of the theft. The borrower is still responsible for the replacement cost. If equipment lost, damaged or stolen while in official use for the University of Baltimore, the cost of replacement will be the responsibility of the borrower's department.

User Files
Data and files stored on borrowed AV equipment are the responsibility of the user. Camera memory is erased when the equipment is checked back in with OTS. All laptops allow users to install third party software and personal files. Each user is responsible for removing any personal files before returning to the checkout desk. If a borrower requires assistance with removing this data, an OTS staff member would be happy to assist them.

Media
All media is provided by the user. OTS does not provide blank media (8 mm, DVD-R, etc.) upon check-out.

Procedures

Advanced Reservations
An instructor may reserve equipment for a specific assignment. This allows students in that class to borrow equipment and plan for its availability. An instructor must submit reservations through the OTS Call Center at least two weeks prior to the request. To ensure equipment availability, the instructor must provide:
- class roster
- equipment needed
- assignment dates and duration

Equipment Check-Out
When checking out equipment, the borrower:
- Must present a valid University of Baltimore ID card.
- Must demonstrate operational knowledge and mastery as defined by OTS professional staff.
- Will discuss the duration of the loan with the OTS staff person or lab assistant (same day or long term).
- OTS staff will demonstrate that all equipment works.
- OTS will then update the borrower’s account in their inventory management system.
- Upon completion of the check-out, the borrower accepts responsibility for the equipment and all accessories.
- NOTE: Unless a course instructor arranged for an advanced reservation, equipment is available on a first come, first served basis .
- Must present a valid University of Baltimore ID card.

Equipment Check-In
- When checking in equipment, the borrower needs to bring all pieces, components and bags related to the equipment borrowed.
- The OTS staff member will review the return to make sure all visible components are being returned and in working order.
- The OTS staff member will then update the borrower's account in the inventory management system.

Damaged, Missing Items and Stolen Equipment
- If equipment is returned damaged, missing items or if the equipment has been stolen, the borrower will need to complete a Late Fee or Damage/Loss Assessment Fee form.
- If equipment is returned late and a fee assessed, a lending ban will be placed on the borrower’s account until the fee is paid. The fee can be paid via credit card or Bee card. Cash and checks are not accepted. Any fees not paid within one semester will be forwarded to the faculty or staff member’s department.

Wifi Policy
All staff and faculty signing out laptops must use the ubalt-guest wireless network while on campus. Do not use ubalt-secure.
