The Assistant Director promotes the success and career outcomes of UB students by helping the UB Career and Professional Development Center (CPDC) accomplish three primary strategic goals: (1) develop expert career managers; (2) promote the integration of career development campus wide, and (3) facilitate synergy between students, alumni and the employment community. The Assistant Director is a member of the director’s departmental leadership team and works collaboratively and cooperatively to provide leadership and visioning in the establishment of policy and procedures to deliver comprehensive career services to UB students. The Assistant Director will directly recruit, supervise and evaluate the Graduate Assistant for Marketing and 5 – 10 Front Desk Assistants. The incumbent manages the front desk operations of the CPDC including developing protocols and procedures for greeting stakeholders and in taking clients. In addition, the Assistant Director provides direct support to CPDC events, programs and functions including processing payments with a University issued Procurement card and negotiating costs with vendors (i.e. caters, florists, etc.). Areas of oversight also include responsibility for CPDC technology and hardware from acquisition to database and system management. Coordinates student learning outcomes assessment and supporting departmental effectiveness assessment. Incumbent provides direct services to UB students in the form of career coaching and workshop/presentations using the CPDC’s Career Cycle methodology.
Operations & Supervision:
Maintain direct responsibility for 1 -2 Graduate Assistants and 5 – 10 student staff members including recruiting, training and evaluating student employees. Provides pre and post professionalism assessment of student employees and assumes a developmental management style. Provides documentation on the effectiveness and impact of student staff on services. Processes all major purchases for CPDC including supplies utilizing University issued procurement card. Processes procurement payments in a timely fashion meeting all deadlines issued by the Budgeting and Finance office. Maintains tracking system to monitor departmental spending concerning supplies and marketing. Ensures office environment is safe, accommodating and inclusive for entire CPDC staff and all visitors. Coordinates facility requests.
Programming Management:
Supports CPDC events and job fairs to ensure that superior event planning processes are implemented. Makes procurement purchases for programs and job fairs including picking up supplies and resources off campus. Serves and a subject matter expert on event planning including marketing, logistics and vendor relations (i.e. Catering, florists, etc.). Coordinates staffing to support departmental events and ensures positive, welcoming and inclusive environment for all attendees. Establishes relationships with key office including facilities, event planning and parking. Expertly uses Symplicity to manage outcomes, coordinate events, and communicate with students, faculty and employers. Implement and manage industry clusters in-person and online to help build synergy between students and the employment community.
Technology Management:
Manages all computer-based and computer-assisted technology for the CPDC including Symplicity, CareerSpots, InterviewStream, FOCUS 2. Researches and acquires technology to help the CPDC operate as a virtual Career Center including Go-to-Meeting, Adobe Captivate and Panopto. Makes informed recommendations and decisions regarding the use of available technology, including systems developed internally and through private vendors. Ensures ADA and FERPA compliance with all CPDC technology and web based content. Coordinates with vendors including processing contract agreements and renewals, system implementation, staff training and troubleshooting. Assists with developing efficient business processes and serves as a liaison to the Office of Technology Services. Ensures all systems are fully utilized to support the career education of UB students. Manages the department’s hardware.
Assessment and Outcomes:
Directs departmental assessment efforts to ensure consistent and timely assessment of student learning outcomes, and program and unit effectiveness. Coordinates key departmental assessments and authors reports related to research findings. Provides subject matter expertise on learning outcomes assessment efforts. Oversees the collection of student utilization tracking data and ensures data is collected by staff members for reporting accreditation outcomes in TaskStream. Coaches and mentors CPDC staff in best practices for data collection and assessment. Utilizes SurveyMonkey, Symplicity and Microsoft Excel to collect, track and synthesize data.
Marketing & Community Outreach:
Manages CPDC website. Cultivates and supports faculty in assigned industry by serving as a business partner and subject-matter-expert on local labor market trends and career development issues. Serves as a liaison between the CPDC’s employer contacts and faculty. Provides timely, accurate and appropriate follow-up to faculty and employers concerning the career development and recruitment of UB students. Maintains relationships with various stakeholders on and off campus to facilitate the hiring of UB students by local employers. Actively networks with other career services professionals to ascertain best practices within the field. Maintains an ongoing understanding of the employment activity in Baltimore Metro area and builds a network with professionals in industries of oversight.
Career Development:
Manages the classroom presentation request process to meet the demand of faculty members seeking career training for their students. Manages the Be Ready Professional Development workshop series including designing new curriculum, integrating technology, facilitating sessions, training career coaching staff, coordinating scheduling and logistics and tracking outcomes. Meets aggressive student success goals related to student utilization of the CPDC and the gainful employment of UB students upon graduation through high quality, transformational career coaching for students and alumni utilizing the CPDC GROW coaching methodology. Administers and interprets career assessments for individuals and small groups including the MBTI and Strong Interest Inventory. Advises students on their progression through the UB Career Cycle and serves as a content expert for career management, career advancement, research, and employment trends. Guides students in the development of resumes, professional letters, and other related documents. Provides editing and grammar reviews of professional documents in person and electronically including the processing of online resumes using the review module in Symplicity. Oversees Career Resource Library.
Required Education and Experience
Education: Baccalaureate degree in Psychology/Counseling, Communications, English, Journalism, Business or a related field.
Experience: Four years of progressively responsible experience in career services or advising in higher education or a related industry.
Preferred Education and Experience Education:
Education: Master’s Degree in Psychology, Counseling, Higher Education Administration, Communications, Business or related field. Certification: GCDF, Coaching, Resume, MBTI, Strong Interest Inventory, StrengthsQuest.
Experience: Five years professional experience in career services, career coaching or academic advising.
