With direction from Director of Emergency Management or designee, the Administrative Assistant works independently to assist with and support a variety of emergency management programs and projects. This is a grant-funded position.

Key Responsibilities:
Administrative Duties:
• Serves as a liaison on behalf of Director with other departments and organizations.
• Manages Director's calendar, greets callers and visitors, prepares correspondence, and schedules appointments.
• Answers OEM’s public-facing phone and email; triages responses to appropriate staff
• Support staffing of the Emergency Operations Center (EOC) when activated.
• Responsible for maintaining confidential matters and handling sensitive material and information.
• Maintains statistical data, researches issues, and drafts reports.
• Plans, organizes, and maintains resources to enable smooth and efficient office operations.
• Maintains OEM's reference library, key officials, databases, paper records, files, digital records and media.
• Schedules meetings and assists in the preparation of agendas; attends meetings to take notes, provides support, and then prepares and distributes notes or minutes.
• Compiles and prepares monthly reports.
• Assists with budgeting, procurement and contracting, expenditure tracking, reporting for both approved operating budgets and grant funds.
Outreach and Events Planning:
• Runs local errands and attends off-site meetings relative to OEM business.
• Assists with outreach events.
• Maintains situational awareness of local events, staff activities, and weather conditions when on duty.
Education: High School Diploma or GED is required. Associate’s degree is preferred.
Experience: 3 years of experience providing administrative support is required. Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Required Knowledge, Skills and Abilities:
• Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
• Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra, geometry, and statistics.
• Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
• Class C Maryland Driver's License, or equivalent issued by state of residence.

•Then, only college and university information is required. Click the plus sign to the left of the “Postsecondary Education” link to enter that information.
•For country, enter USA or click the hourglass to select another country.
•You can use the first day of the month wherever dates are required.
•Click the plus sign to the left of "References" to enter two professional references.
•After you enter your education information and references, click “Save,” then click “Next.”
